This policy explains what personal information Britannia Estates collects when you use this website or submit an enquiry, why we collect it, how it is handled, and the rights you have over it. We are committed to protecting your privacy and processing your data lawfully and transparently.

1. Who we are

Britannia Estates (“we”, “us”, “our”) provides guaranteed rent and property-income services to owners of prime central London residential property. For the purposes of UK data protection law, we are the data controller responsible for the personal data collected through this website.

2. What data we collect

We only collect the information you choose to give us. When you complete the enquiry form on this site, we may collect:

• Contact details — your name, email address and phone number.
• Property details — the property postcode, property type, number of bedrooms, your target monthly rent, and whether the property is currently vacant.
• Any additional information you enter in the message / details field.

We also collect limited technical information automatically, such as basic device and browser data, and a preference stored in your browser (see section 8 on cookies and local storage).

3. Why we use your data and our lawful basis

We use your personal data to:

• Respond to your enquiry and discuss our guaranteed-rent and property-income services;
• Assess whether your property is suitable for our service and prepare a proposal;
• Take steps, at your request, prior to entering into an agreement;
• Keep records of our communications with you.

Our lawful bases under UK GDPR are your consent (which you give by submitting the form), the taking of steps prior to a contract at your request, and our legitimate interests in responding to and managing enquiries about our services. You can withdraw consent at any time (see section 6).

4. How your enquiry is transmitted and who we share it with

When you submit the form, your details are sent securely to our team so we can respond. To do this, and to run our business, we may use trusted third-party providers, including:

• A messaging / notification service (Telegram) used to alert our team to new enquiries;
• Our website hosting and infrastructure providers.

These providers process data on our behalf and are only permitted to use it to deliver their service to us. We do not sell your personal data, and we do not share it for third-party marketing.

5. International transfers

Some of the providers above may process data outside the UK. Where that happens, we take steps to ensure your data receives an appropriate level of protection, for example through recognised safeguards such as adequacy decisions or standard contractual clauses.

6. How long we keep it

We keep enquiry data only for as long as necessary to respond to you and, where relevant, to manage an ongoing or prospective relationship — typically no longer than 24 months after our last contact, unless a longer period is required by law or to establish or defend legal claims. You can ask us to delete your data sooner (see below).

8. Cookies and local storage

This website uses essential local storage — small pieces of data saved in your browser. Specifically, we store your chosen language and a record of your cookie choice, so the site works correctly and remembers your preferences.

With your consent, we also use analytics cookies to understand how visitors use the site so we can improve it. These load only after you select Accept on our cookie notice, and you can decline them at any time. We currently use:

• Google Analytics (Google) — aggregated visitor statistics. IP addresses are anonymised.
• Microsoft Clarity (Microsoft) — anonymised, aggregated insight into how pages are used.
• Cloudflare Web Analytics (Cloudflare) — privacy-first, cookieless traffic measurement.

We do not use advertising or cross-site marketing cookies. If that changes, we will update this policy and ask for your consent where required.

9. Security

We take reasonable technical and organisational measures to protect your data against loss, misuse and unauthorised access. However, no transmission over the internet can be guaranteed to be completely secure.

10. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it was last revised. Please check back periodically.
